Overview:
Leverage automation to streamline document processes—notify teams of new uploads, route documents for approval, or archive old files automatically.
Steps:
Navigate to Automation & AI → Workflows.
Click + New Workflow and choose the Document event type.
Select a trigger, such as When Document Uploaded or When Document Version Added.
Add actions, for example:
Send Notification to a Slack channel or email group.
Assign Task to review or approve the document.
Move Document to an “Approved” folder.
Save and Activate the workflow. Test by uploading a document to a customer record.
Tips & Best Practices:
Use clear naming for workflows (e.g., “Contract Approval Flow”).
Include a short Delay (1–5 minutes) if multiple uploads occur in quick succession.
Monitor the Workflow Logs regularly to catch and fix any failures.
Troubleshooting / FAQs:
Workflow not firing: Ensure the trigger matches exactly (e.g., correct folder or tag).
Notifications not sent: Verify the notification channel integration is active and correctly configured.
Document not moving: Check folder permissions and that the destination folder exists.
