Overview
Once goods are received and an invoice arrives, convert the PO into a Bill to record the vendor’s invoice and trigger payment workflows.
Steps
Locate the PO in the list and click Action → Convert To Bill.
In the Bill creation screen, verify line items, quantities, and prices match the vendor invoice.
Enter Bill Number, Bill Date, and attach the vendor’s invoice PDF.
Click Save. The PO’s “Billed Status” updates to “Billed.”
Tips
Match quantities precisely to avoid payment discrepancies.
Attach the scanned invoice for audit trail.
Troubleshooting
Convert option disabled? Ensure delivery status is “Delivered” or “Partially Delivered.”
Line‑item mismatch error? Adjust the Bill line items manually to match the invoice.
